Add staff and set their pay

Every person on payroll starts as a staff record — their role, their pay, and the statutory details your country asks for. Set it once and every pay run computes from it.

Payroll starts with people. A staff record holds who someone is, what they're paid, and the statutory identifiers your country's paperwork needs — and every pay run you cut later computes from it, so getting this right once means payday is arithmetic, not admin.

Add a person

  1. Open Staff in the menu and add a new staff member.
  2. Choose employee or contractor — it changes which statutory fields you're asked for.
  3. Set the pay: hourly or salary, the rate, and how often they're paid (weekly, fortnightly, twice a month, monthly, or per project).
  4. Pick how the money leaves — cash, cheque, or transfer — and which of your money accounts it's normally paid from.

The statutory details

The form shows the identifiers your country actually uses — an Australian workspace asks for a TFN and super fund details, a Canadian one for a SIN and TD1 forms, and so on. Fill in what you have; you can come back for the rest.

Papertools stores ID numbers and yes/no confirmations only — it's a record of what you hold, not a document vault.

Good to know

  • Changing someone's rate later never rewrites pay runs that already happened — each run snapshots its numbers when it's built.
  • Recurring allowances and deductions (a travel allowance, a loan repayment) live on Pay schedules, so they apply themselves every run.
  • Staff pay details are visible to workspace admins and owners only.
