Send an estimate and convert it to an invoice

Quote a customer, let them accept online, then turn the estimate into an invoice in one click.

Estimates, bills & expenses

An estimate (or quote) proposes work before you bill for it. When the customer says yes, you turn it into an invoice without re-entering a thing.

First, make sure Estimates is turned on under Settings → Features.

Create and send

  1. Open Estimates and choose New estimate.
  2. Pick the customer and add your line items, just like an invoice.
  3. Choose Send to email it, or share the link.

Your customer can accept it online from the link — no account needed — and the estimate updates to Accepted. (You can also mark it accepted yourself if they say yes by phone or email.)

Convert to an invoice

Once an estimate is accepted, choose Convert to invoice. Papertools creates an invoice with the same customer and line items, ready to send — nothing to retype.

Good to know

  • An estimate isn't money owed, so it stays out of your revenue and aging reports until it becomes an invoice.
  • Need to revise a quote? Edit and resend, or duplicate it as a starting point.

Estimates use the same layouts, branding, and send options as your invoices.
